Assistant Director, Sponsored Programs Administration in Research and Compliance

This position will serve as a primary coordinator of pre-award and non-financial post-award requirements involved in obtaining and managing sponsored awards to ensure compliance with Federal regulations, sponsor guidelines and university policies. This position plays a key role in maintaining and troubleshooting problems with the InfoEd Electronic Research Administration system, as well as developing and presenting training materials for key stakeholders and documenting departmental procedures.

 

Key Responsibilities

  • Conduct institutional compliance reviews of grant proposals to ensure adherence to sponsor guidelines, federal regulations, and university policies prior to submission.
  • Advise faculty, staff, and students on sponsor requirements, proposal development, and submission processes for federal and non-federal funding opportunities.
  • Monitor changes in sponsor regulations and policies, communicating updates and guidance to the university research community.
  • Review and accept grant awards, evaluate award terms and conditions, coordinate award setup with the Post-Award Office, prepare subawards as needed, and monitor non-financial post-award compliance throughout the award period.
  • Coordinate and support internal grant review processes and facilitate award kick-off meetings to clarify project requirements, responsibilities, and timelines.
  • Serve as a primary administrator for the InfoEd Electronic Research Administration (ERA) system by troubleshooting user issues, maintaining system documentation, and coordinating with the software vendor to resolve technical problems.
  • Develop and deliver training for faculty, staff, and students on the system, funding database, and sponsored programs processes. Assist with onboarding and training new Sponsored Programs Administration staff.
  • Compile, analyze, and report proposal and award data for leadership, audits, accreditation, surveys, and institutional reporting.
  • Support proposals involving clinical trials, clinical partners, and technology commercialization opportunities, including SBIR/STTR programs, and assist faculty with identifying and pursuing funding opportunities.

 

Minimum Qualifications

  • Bachelor's degree required; Master's degree preferred.
  • Four (4) or more years of research administration or closely related experience.
  • Working knowledge of the Uniform Guidance and experience interpreting federal and non-federal sponsor regulations and policies.
  • Experience with electronic research administration systems; InfoEd experience preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Knowledge of sponsored research administration and regulatory compliance.

  • Excellent written and verbal communication skills with the ability to explain complex policies and procedures to diverse audiences.
  • Strong interpersonal skills and the ability to build collaborative relationships with faculty, staff, administrators, and external sponsors.
  • Demonstrated analytical and problem-solving skills with sound judgment and attention to detail.
  • Ability to manage multiple priorities and meet competing deadlines in a fast-paced environment.
  • Experience developing and delivering effective training and presentations.
  • Flexibility to work occasional evenings or extended hours to meet proposal submission deadlines or departmental needs.
